DataStore Tookit is the "Integrated Report Management" component for PaperStore, which provides a solid foundation for an Enterprise Report and Document management strategy within an organization. The tools eliminate scanning and manual indexing by providing lights out automation of the capture and filing processes of all printed reports.

The DataStore Toolkit is a proven, cost effective set of automation components needed to enable PaperStore as both a document and Report Archiving solution.

The system is installed in Banking, Government, Insurance, Manufacturing/Distribution, Utilities, and Medical and Education organizations. While the industries may vary, the goals and problems the toolkit addresses are similar.

Immediate Access Via Searching then viewing

Instant viewing of computer-generated information, such as reports, statements, invoices, and ledgers, is critical in these days of increasing competition and legislation. Historically, users have adopted a variety of solutions, ranging from printing and manually filing copies or reports, and COM (Computer Output to Microfiche), to long term on-line DASD (Direct Access Storage Devices) retention. All these options have drawbacks, in terms of efficiency, security and/or cost.  Immediate secure access to information is therefore still a key issue.

Expensive processing and filing labor, unnecessary storage space, single-user access, environmental issues, security (and natural disaster), misfiring and the excess time to locate the relevant information to respond to an inquiry prove that paper based information is too problematic and inefficient. On line DASD archival is now the preferred solution in many instances.

With the DataStore toolkit, PaperStore warehouses information and allows it to be reused in a variety of ways.  For example, new documents and reports can be created out of combinations of related documents and reports and new databases and spreadsheets can be extracted from original reports!

Just like your file room, the disciplines utilized in PaperStore make information available to those who have authority to view it, but prohibit documents or files leaving the controlled environment, where they could be misplaced or lost.

PaperStore viewing of scanned and archived report documents use a common interface, and common security foundation, which allows end users who have the correct authorities to easily retrieve archived reports extract data to a variety of applications for further analysis.

Ease of Use

With PaperStore archiving, the printable files are instead transferred from the host computer electronically, indexed from the content using customer pre-defined fields, compressed (to maximize storage space), encrypted and stored on either optical media, magnetic disk (RAID) or CD-ROM - DVD RAM, to ensure integrity of data.  With possibly a million or more pages per gigabyte of media, no more efficient method exists to manage transaction-based reports and documents.  All of this is accomplished with no labor components other than monitoring oversight.

Once stored, the information may be retrieved by multiple networked workstations immediately. Once retrieved, the information is associated with all documents which may be viewed, printed

The average DataStore user can master the system in less than one (1) hour. After initial setup administrative functions are limited to a few hours per month.
